Operations Specialist (maternity cover) at Element AI

AI for Good, is a dedicated group within Element AI, a B2B product company, co-founded by JF Gagné and Professor Yoshua Bengio in 2016. The London-based team focuses on bringing its deep expertise in machine learning to help solve human rights, humanitarian and environmental problems. Our AI for Good mandate is achieved through collaborations with non-government organizations, international organizations and the public sector to develop reusable AI tools which they can use to scale up and enhance their work.

What you’ll do: 

  • Executive assistant tasks
    • Providing scheduling and coordination support for the two AI4G Directors;
    • Coordinating and organizing travel;
    • Undertaking desk research for directors and compiling it into succinct reports;
    • Coordinating team meetings;
    • Preparing and submitting expense reports.
  • Office operations
    • Working with building management on facilities and negotiating contracts for new spaces;
    • Managing IT stock and resources;
    • Managing budgets;
    • Dealing with post and deliveries general;
    • Reception duties, greeting external guests;
    • Organising desk reshuffles;
    • Supporting team with ad-hoc administration.
  • Events management
    • Managing internal and external events, team retreats and workshops;
    • Working with cross-functional teams on events;
    • Engaging with external partners, speakers and facilitators.

What we’re looking for:

  • A minimum of 2+ years within an administrative/coordination role and managing complex diaries;
  • Highly flexible and responsive to the needs of the team and wider group;
  • Expert knowledge of Google Suite;
  • Excellent writing skills;
  • Strong interpersonal skills and ability to build good relationships;
  • Excellent communication and influencing skills;
  • Resilient and calm under pressure;
  • Ironing out ambiguity and proactively resolve issues;
  • Anticipating obstacles before they arise and resolving them;
  • Working collaboratively cross-functionally;
  • You are extremely organized and have an appetite for working in fast paced, changeable environments.
