Executive Assistant to CEO | Office Manager at GoodData
San Francisco, CA, US

GoodData is seeking a highly motivated person to manage San Francisco office and serve as Office Administrator and Executive Assistant to the CEO. You will be the face of our San Francisco headquarters, with opportunities to have an impact on the entire office. We are looking for an enthusiastic and confident person, with excellent organizational and computer skills. Previous admin and office experience at a tech company is required. This role reports to the Sr. Manager of People Operations.

You are able to take initiative, request feedback, and collaborate or escalate when appropriate, since there are many different projects with competing deadlines occurring simultaneously.


 The role is a rewarding blend of diverse challenges and projects. Expectations include a high attention to detail, project focused attitude, the ability to work independently and a level of professionalism - virtually and in person. The position requires a blend of operational savvy and people skills.





Executive Assistant Duties


Act as a gatekeeper for the CEO while taking a mindful approach to calendaring.

Manage competing demands, prioritize requests and balance the needs of both internal teammates and/or external customers.

Organize and coordinate international/domestic travel and related requirements to include: travel authorizations, flight & hotel arrangements, expense reports, etc.

Attend Executive meetings and provide administrative support e.g. tracking meeting minutes, action items and follow-ups

Coordinate, plan, and organize small-to large-scale team meetings on behalf of the CEO & executive team, e.g. board meetings, team working/ building offsite, dinners etc.

Strong written and verbal communication skills; Comfortable proofreading & drafting email communications on behalf of the CEO

Act as an extra pair of eyes and ears to the CEO and company; always operates with a strict level of confidentiality and discretion; raise opportunities for improvement or concerns to the CEO/ key stakeholders when appropriate.

Strengthen and facilitate relationships with Exec(s) and the org

Light personal assistant support

Receptionist Duties 


Act as main point of contact for general office needs for staff and visitors in our SF Headquarters and remote employees - (60 people in SF)

Stationed at the front desk, you will greet and check in visitors, accept deliveries, sort mail, and send packages

Coordinate with recruiting to host interviews 

Hours are 8:30am to 5:30pm daily, sitting at the main front desk is required. Some evening and weekend hours may be required based on business needs 

Office/Facilities Duties 


Provide a supportive, clean, and stimulating work environment

Manage facilities, coordinating with property managers and landlords (e.g. repairs, building security, janitorial services)

Manage office vendors: planning for, purchasing and upkeep of workstations, furniture, meals and employee supplies

Maintain and reserve conference rooms for meetings

Administrative Duties 


Reconciling expenses for corporate credit card 

Proactively seek ways to streamline office processes and leverage best practices

Program & Event Coordination Duties


Managing events and projects within a budget

Research and create proposals for happy hour events, holiday party, office offsite, and other office events as they arise

Assist with various People Ops programs (i.e., GoodLife, GoodData Doing Good, Women in Leadership, and Global Onboarding)

Assist People Ops with onboarding and offboarding employees

Host and coordinate weekly All Hands meeting 

Interface with IT to provide solutions for a variety of onsite and virtual meetings



Minimum three years of previous office admin and executive assistant experience 

Strong aptitude for staying focused and organized in a fast-paced environment

Microsoft Suite/Google Docs expertise

Video conferencing and AV experience a plus

Ability to master new systems quickly

Tried and true organizational strategies

Proven ability to see multiple projects from concept to completion

Excellent interpersonal skills and comfortable in group settings 

Excellent written and verbal communication skills – you know precisely what to say and how to say it, both online and in-person

Bachelor degree in Art/Science or college coursework in business administration or a related field preferred
