Administrative Assistant-Front Desk (PT) at Ossia

We are looking for an organized, detail oriented and service focused part-time Administrative Assistant to coordinate a variety of activities for our active front desk.  In this role, you will support administrative needs across the organization including point person for facilities, telephone system, office equipment, mailing as well as vendor and guest relations.  You will be part of a small but growing company and have no fear of jumping in to help wherever needed.  You must demonstrate a warm, professional presence with employees, clients and external vendors.

The Role:

  • Manage reception: you will be the first point of contact for guests
  • Facilities Management: Space and equipment
  • Domestic and International shipping
  • Incoming / outgoing mail
  • Manage and order office and break room supplies
  • Order parts for Engineering and IT
  • Coordinate schedules and travel arrangements
  • Provide general administrative support to multiple departments, including Accounting and HR
  • Assist with event planning: ordering meals, making reservations, organize and set up and break down of meetings and team events
  • Work with Executives on Expense Reporting processes
  • Work in Salesforce updating and adding contacts
  • Organize NDAs 
  • Manage employee and guest badges
  • Parking validation
  • Run occasional business-related errands
  • Work on ad hoc office projects as needed
  • Experience booking travel is a plus

Minimum Requirements:

  • 2+ years of experience as an office administrator or related role
  • Must be highly organized with a great attention to detail
  • Self-starter, while working cooperatively with the Executive team and fellow employees
  • Willingness to take on new challenges.
  • Flexibility and responsiveness to changing priorities
  • A deep sense of ownership and passion for excellence
  • Effective collaboration with team members and interaction with member of the business
  • Outstanding written and verbal communication skills
  • Proficient in MS Office
  • Positive and energetic
  • Exceptional customer service skills
  • Ability to lift 25 + pounds (cases of soda, computer paraphernalia, etc.
  • Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner
  • Resource to run errands outside the organization as needed
  • Bachelor’s degree preferred

 This is a part-time position, 16+ hours a week, preferably M-Th 1-5 but we are flexible to set a part-time schedule that is mutually beneficial.   This position reports to the Office Manager/HR Generalist.
