Office Manager APAC at Sigfox
Singapore

We are looking for a passionate and dynamic Office Manager to join our Singaporean office to handle day-to-day operations and keep improving workplace experience by bringing in new ideas.

 

WIN/WIN MISSIONS

 

Reporting to the VP APAC Region, you will drive our offices in APAC (30 sigfoxers).

As Office Manager, you’ll work closely with other support functions like Finance, Communication, HR by helping them on specific missions.

 

In more details, you will be in charge of :

 

Office Management :

  • Create a vibrant, attractive, well-organized, high-functioning offices environment,
  • Organizing the Singapore office and maintaining supplies of stationery and equipment,
  • Maintaining the condition of the office and arranging for necessary repairs and support for the Singapore demo/showroom,
  • Coordinating lease negotiations for Singapore and other regional offices; including relocation, securing estimates, decoration and Sigfox branding requirements,
  • Recording office expenditure and coordinate on cost savings measures with management and finance,
  • Answering telephone calls, receiving post, emails, deliveries, screening & transferring to appropriate managers,
  • Providing general administrative and clerical support, and support to the Region Director,
  • Manage 3rd party travel agency and support for travel requests, hotel bookings,
  • Assisting the local team for relevant administrative tasks,
  • Coordinate with IT department on office Equipment.

 

HR Support & Employee Satisfaction :

  • Assist HR in organising recruitment of new staff through local agencies and web services,
  • Support to Finance for enforcement of Group Expense policies and reimbursement for APAC team,
  • Onboarding and equipment for new sigfoxers,
  • Management of leave and claim Tools,
  • Scheduling appointments and organizing logistics for meetings and events; particularly coordinating Regional and Group team meetings and/or training and local cultural activity,
  • Support for employee satisfaction,
  • Partner with HR to update and maintain office policies as necessary,
  • Acting as the point of contact among executives, employees, clients and other external partners.

 

Communications :

  • Support to HR & Group Communications and Region Director in employee surveys, communications and coordination of internal webinars and meetings,
  • Support Communications to external partners.


MINDSET & KEY SKILLS

To succeed on this job : 

 

  • you have  over 2 years of experience in Office Management, especially in a startup environment
  • you have HR knowledge, especially on HR Administrative tasks
  • you speak fluent English and you are used to working in a multicultural environment (other languages are welcome)
  • you have great interpersonal and communication skills
  • you are autonomous, proactive, and a problem solver (you are always planning ahead)
  • you are able to multi-task, prioritize and work with tight deadline
